How to transcribe Voice Memos on iPhone
You have the recording. You need the words. Start with the transcript already available in Voice Memos, then decide whether you need anything more.
“Let’s move the review to Friday…”
Open Voice Memos, select a recording, and open its More menu. Choose Copy Transcript to copy all the text, or View Transcript to read it first. Apple’s current guide lists transcription for iPhone 12 or later, with language and region restrictions.
Copy the transcript you already have
- Select your recording in Voice Memos.
- Open the More menu beside the recording.
- Choose Copy Transcript. To take only an excerpt, choose View Transcript, select the passage, and copy it.
- Paste the text into a note or document. Keep the recording until you have checked names, numbers, and important quotes.
- Voice Memos
- Your recording
- More
- Copy Transcript
or View Transcript to copy only part of it
This is enough for a short message, a quotation you want to check, or a recording you only need once. You can also search titles and transcriptions from the search field in Voice Memos. Apple documents both features in the transcription guide linked below.
If the transcript option is missing
Check the device, software, spoken language, and region against Apple’s current support page. Transcription availability and Apple Intelligence availability are separate checks; needing text does not automatically mean needing an Apple Intelligence feature.
- iPhone 12 or later
- A language on Apple’s list
- Offered in your country or region
- Transcript
View Transcript and Copy Transcript appear in the recording’s More menu.
- Confirm that your iPhone and language are supported. A software update cannot add every feature to every device.
- Play the recording. Music, room noise, and distant speech may leave little usable speech to transcribe.
- For an older recording, open it in the current Voice Memos app. Apple says supported recordings from iOS 17 or earlier can be transcribed when opened.
Do not delete your only copy while troubleshooting. If you try another transcription app, test a short, non-sensitive recording before importing a long interview.
If the option is still missing, work through the Voice Memos transcription troubleshooting checks to separate an availability issue from a problem with one recording.
Turn the recording into a note in Phrase
A transcript preserves the words. For a meeting or a long idea, you may also want headings, a short recap, and a list of things to do. Phrase imports the audio and builds an editable note while keeping the source attached.
- In Voice Memos, select the recording, open More, and choose Share, then Save to Files.
- Open Phrase and choose its audio-file import. Select the recording you saved.
- Wait for processing to finish. Media-to-note processing uses cloud services and needs a connection.
- Open the attached source to check the transcript. Edit the note’s headings, summary, and to-dos before using them.

One media-to-note conversion is free, across every supported media type. Pro includes the rest along with the AI features, at the allowance shown in the app. Worth checking the allowance before a long recording rather than partway through one.
Check the details that change the meaning
A small transcription error can reverse what someone agreed to do. Read each pair below against your own recording before you rely on the text.
| Check | Example to listen for |
|---|---|
| Names | “Maya” rather than “my A” |
| Numbers | “Fifteen” rather than “fifty” |
| Decisions | “We can’t ship Friday” rather than “we can ship Friday” |
| Ownership | A suggestion to ask Sam, rather than a task Sam accepted |
Replay the surrounding sentence, not only the suspected word. If the audio is unclear, mark the passage as uncertain rather than polishing a guess into a fact.
Sources & editorial notes
Sources were checked on September 8, 2026. Steps for Apple features follow Apple’s current documentation, linked below. The conditions change with each iOS release.
- Apple: View a Voice Memos transcription Device availability, transcript copying, and transcript search.
- Apple: Export a Voice Memos recording to Files Saving an audio file for use in another app.
