Voice Memos transcription not working? What to check

A missing transcript can mean a missing feature, a recording without clear speech, or a file that needs another look. Start by identifying which problem you have.

A practical troubleshooting checklist
The quick answer

Apple’s current guide supports Voice Memos transcription on iPhone 12 or later, in listed languages and regions. Open the recording’s More menu and look for View Transcript or Copy Transcript. If the device and language are supported, play the audio and check whether the speech is clear before trying a different transcription service.

01

First, name the problem

What you seeStart here
No transcript option on any recordingCheck your device, software version, language, and region.
One older recording has no transcriptOpen the recording in the current app, then check for recorded speech.
A transcript exists but misses wordsListen to the same passage. Separate an audio problem from a transcription error.
The recording ends earlyCheck whether another app started playing audio during recording.
You have text but cannot export it as a documentUse Copy Transcript, then paste into the document you want.

What does Voice Memos show?

  1. No transcript option at allCheck the iPhone model, the language and the region.
  2. A transcript with no wordsPlay the recording. There may be little clear speech.
  3. Words, but some are wrongCheck names and numbers against the audio.
Three different problems that look alike. Each one starts in a different place.

Keep the original recording while you investigate. A transcript can be replaced or corrected; lost audio cannot be recreated from a summary.

02

Check support before changing settings

Apple lists iPhone 12 or later for Voice Memos transcription. Its current guide names English, Spanish, Portuguese, Italian, French, German, Japanese, Korean, Simplified Chinese, and Traditional Chinese, with regional restrictions. Check the linked guide for your current software version.

  1. iPhone 12 or later
  2. A language on Apple’s list
  3. Offered in your country or region
  4. Transcript

View Transcript and Copy Transcript appear in the recording’s More menu.

Voice Memos shows a transcript only when all three of Apple’s conditions hold. Miss one and the recording keeps its audio but has no words.

Transcription and Apple Intelligence summaries have different requirements. The absence of Apple Intelligence on your phone is not, by itself, proof that transcription is unavailable. Changing a region setting is also not a documented universal fix.

If your device or language is outside the supported set, repeated restarts will not change that availability. Consider an audio-file transcription workflow instead, using a short recording to check that it meets your needs.

03

If only one recording has a problem

  1. Open the affected recording and listen to a passage where you expect speech.
  2. Compare it with a short recording that transcribes successfully on the same phone. Note whether the language or recording conditions differ.
  3. For recordings made in iOS 17 or earlier, open the file in the current Voice Memos app. Apple says older recordings with speech can be transcribed when opened.
  4. Recheck the More menu for View Transcript or Copy Transcript. If the option remains absent, keep a copy of the file and use the support details below.

Apple does not specify a fixed processing time in its guide. Keep the recording available and check again; if only this file remains affected, include that detail in your support request. Long silences or music may leave little speech to transcribe.

04

When words are missing or wrong

Listen to the original with enough context to understand the sentence. If the words are audible, copy the transcript into a document and correct the passage there. Check proper names, numbers, and negative words such as “not,” which can change the meaning of a decision.

  • Transcript: We’re ready to sign the lease. After listening: We’re not ready to sign the lease.
  • Transcript: Ben said the deposit is 4,000.After listening: Ben said the deposit is [unclear].
Listen before you correct. A missing “not” reverses a decision, and a word you cannot hear stays marked, not guessed.

If you cannot hear the words, another model may also struggle. Mark the gap as unclear and consult your written notes or the speaker. Do not turn a plausible guess into a quotation.

For the next recording, make a brief test from the position you will actually use. If the phone is inside a bag or far from the speaker, fix the source before relying on transcription.

05

If the recording stopped early

Apple says Voice Memos stops recording if another app starts playing audio. A file that ends when you opened a video has a different problem from a complete file with a missing transcript.

Stopped earlyA video started playing in another app at 23:10
Audio
Never recorded23:10
Complete, no transcriptAll 50 minutes saved
Audio
Transcript
No transcript yet
Two different problems: a file that stopped when another app played audio, and a complete file that has no transcript.

Check the saved audio’s length and ending. For future recordings, avoid starting audio or video playback in another app, and check the recording indicator after switching apps. A transcription service cannot recover the portion that was never recorded.

06

Try an imported-audio workflow when it fits

If the file has useful speech and you want editable notes as well as text, save the recording to Files and import it into Phrase. Phrase processes the audio into a note with the original source attached. This creates a separate note; it does not repair Voice Memos or add a missing Apple feature.

The New Note sheet in Phrase on iPhone: start from a blank note, a recording, an audio file, a video, images or a PDF.
In Phrase, the New Note sheet: choose the audio file you saved to Files.

Media conversion uses cloud services. Phrase includes one free media-to-note conversion, with further conversions and AI features requiring Pro. Check the current in-app allowance, and test with non-sensitive audio before starting a long or confidential recording. The current audio duration limit is two hours.

If you only need text, the built-in Copy Transcript option remains a useful endpoint. Our transcription guide below covers the complete copy and import steps. Once a transcript does exist, searching inside your recordings explains which search field reaches it and which one only sees the title.

Make a support request easy to diagnose

For a Voice Memos issue, contact Apple Support. For a Phrase import or processing issue, contact Phrase support. Start with the details below, and share a recording only if the support team needs it and you are comfortable doing so.
